Present: Mary Farwell, Chairperson; Mary Leger, Secretary;
Mac Broderick, Treasurer; Heather Shumway, Director.
Secretary's Report: Approved and filed.
Treasurer's Report: Approved and filed. There was a
discussion of the 2005-2006 budget figures as well as preliminary
discussion about the 2006-2007 budget. HS reported on vacation/ sick
accrual figures.
Director's Report: Reported orally.
Unfinished Business:
- Shelving issues-Ed Comptois
- HS will contact Ed Comptois to reorder, has been told it
will take 10 weeks to be in. HS will be meeting with vendor to
get quote for endcaps on 5/19 and will report to trustees via
email. Trustees expressed a preference for cherry endcaps vs
laminate but prices will be obtained for both alternatives.
Estimated date for delivery will also be ascertained.
- Hand dryers in restrooms
- MB received a quote from John Gimas to purchase and have
new hand dryers installed in all 5 bathrooms: $3600. The quote
for just the two upstairs bathrooms is $1800. We voted to go
ahead with all five, MB to schedule.
- Estimate to convert front door to handicapped accessible
- ML received a quote of $1831.20 from John Curtain at
Northeast Door Corp to convert the front door to handicapped
accessible. He mentioned that the door is in a high wind
area, therefore the quote is for a heavy duty, low energy
operator with external activation button. This quote is for
material and installation. We voted to go ahead with the work,
ML will call John tomorrow. HS to arrange with John Gimas for
electrical work to go along with this.
- Section 125 Cafeteria Plan
- ML checked with Diane Savoie, there is not a plan
available.
- Engineering for HVAC Phase 2
- John Karpinski is estimating a 4 week time span between the
time that we approve the plans and actually receive bids. Bid
documents hopefully will be ready later this month. MF will
contact Doug St. Pierre to ask if he will assist us in
reviewing bid documents.
- Copier Maintenance agreement
- HS to contact vendor to ascertain in writing exactly which
copiers are covered under the agreement.
New Business:
- Painting estimates
- As the walls in the Children's Room and Lobby are
exceedingly scuffed and dirty, trustees decided to obtain
estimates to have the Children's Room including Vickie's
reading room, and the lobby area including the 2 upstairs
restrooms and the hallway as one enters them repainted. HS to
get written proposals and quotes from different sources. We
will be notified by email.
- Storm damage
- HS pointed out an area on the lower level that appears to
have sustained water damage from the storm. HS to inform Diane
Savoie ASAP.
- Fire safety
- We discussed need to inform Fire Department about location
of critical collection materials so that, in case of fire or
water problems, they could secure these material first. HS to
speak with Fire Department and possibly prepare a diagram for
them to have on file. We also discussed the need to have fire
drills, possibly supervised by the Fire Dept.
- Porch furniture
- ML to get price quotes for 4 new wooden rocking chairs from
Country Woods Unfinished Furniture, and from a local store as
well.
- Donations for 2006
- Memorial donations in the name of Loretta Bartlett have
been given to the HPL in the amount of $720 per HS.
- Summer hours
- The HPL will be open on Saturdays during the months of July
and August.
- New Trustees
- New trustees can be on the board for 1 year, and then they
would have to run for election. They should provide a letter
of intent, and possibly a resume. Per Evelyn, we need to
submit their names by May 30th, and if there are more than two,
they would choose the new board members. We have the names of
a few interested candidates.
- Risk management session
- MF will try to get handouts for the session.
