Present: Mary Farwell, Chairperson, Marion Jacobi, Treasurer, Lisa Gillis, Secretary, Amy Lapointe, Library Director, John Karpinski, Consultant

Secretary's Report: Minutes from the November 9, 2004 meeting were approved and filed

Treasurer's Report: MJ reported expenses on target.

Library Director's Report:

  • Circulation report was distributed and circulation is up.
  • AL reported feature films for January will be more Kid friendly.
  • The holiday party for children had over 130 children attend and the afternoon concert had over 60 attendees. Both events had significant increases in attendance.

Unfinished Business:

  • HVAC:
    • Only one bid came in on Nov. 22nd so the Trustees agreed to reopen bidding. Drawings will be released on Dec. 20th and bids will be accepted until Jan. 25th, 3pm. Bidding materials will be released to Dodge reports this time to cover a wider group of contractors. All contractors are invited to bid provided they can acquire the necessary bonds. Cost of rebidding is minimal only requiring additional copy costs. John will lead a walk through on Jan. 11th for interested contractors.
  • Meeting Room Maintenance:
    • AL presented an estimate from A.J.P.Painting. The Trustees ask her to get a third bid.
  • CIP:
    • On January 8th the Town Council will discuss and vote on the CIP request (HVAC phase II ) for the Library . Trustees should try to attend. The budget committee will meet Feb. 5th.
  • Grant Opportunities:
    • Wal-Mart gave no answer yet, maybe tied up due to new store manager.
    • MF needs to check on grant timing with Target. MF spoke with town and believes we can obtain birth information.
  • Insurance and the Patriot Act:
    • AL checked with Town regarding value of building and Library contents for insurance purposes. Trustees questioned how collection value was determined. AL will check with GMILCs to see how other Libraries determine their collections worth.
    • AL presented Goffstown's policy for the Patriot Act. MF will contact Terry Pare-Curtis at NHSL to see if Hooksett can use their policy.
  • 2005-2006:
    • Budget was submitted to town on Dec. 13th. AL spoke with Diane about determining the wage line for the default budget. It will be based on staff's wages as on 6/30/05.

New Business:

  • Personnel issues:
    • AL gave her resignation to the Board of Trustees. The Hooksett Library will be with out a director in 4 weeks. Trustees began search for new director immediately, by posting job opening. Applications will be accepted until Jan. 7th and reviewed at the Jan. 11th trustee meeting. MJ will contact Lynn a candidate from last search. AL will contact other possible candidates.
  • Measurement Tool for staff and Library Director reviews:
    • AL has prepared draft job descriptions, with revised classifications, for all Library employees.
    • Trustees did not review AL due to her resignation.
  • Hand Dryers:
    • AL priced hand dryers for the men's washroom at $100 to $400 plus the cost of installation.
    • AL will check on installation and energy costs.
  • Gift for AnnMarie:
    • Haven't heard from AnnMarie
  • Kid's Community Service:
    • Tabled for new Director
  • Vacation Policy:
    • Tabled until new director is hired
  • Shelving options:
    • Tabled for new Director

Next Meeting of the Library Trustees will be January 11, 2004 at 9am.
