Minutes
 
Present: Marion Jacobi, President, Mary Farwell, Secretary, Ann Marie Van De Water, Treasurer.
Excused: Fran Hebert, Library Director

Secretary's Report: Minutes from the February 10, 2004 meeting were approved and filed

Treasurer's Report: Treasurer's report was reviewed

  • AV to review utility line and determine whether we have a rate lock with Energy North.
  • The trustees approved payment of online taxes by the bookkeeper. AV will seek IRS approval for this change
  • AV will research expenditures from Programs line item
  • AV will research wage line and attempt to project how closely actual expenditures at the end of the year will match budget line item

Library Director's Report:

  • Circulation report was distributed.
  • AED- Jeff Scott reported on first training session. Five other representatives from the Library will attend the second session on March 19th. MF will follow-up with Kathy Raymond about wall-mounting options for the AED and an alert button.
  • Humanities program is scheduled for May. Topics include Storm Clouds over Iraq, War and Peace in the Middle East, and Geography of the Middle East with Emphasis on Oil and Water Resources.
  • Financial Issues for Women is scheduled for May 18 and May 25
  • Roof Leak: FH reported contact with Skyline Roofing. Large branch penetrated lining. Drains full of leaves and pine needles. Vendor recommended annual cleaning of drains. Vendor to check to see if roof repair is under warranty. FH to follow-up with vendor.

Old Business:

  • IES: Vendor has finished his work and will appear before the Trustees on April 13 at 9:30 to discuss
  • Fire Alarm Monitoring: MJ to follow- up with vendor.
  • Fire Extinguishers: MJ reported that the Grinnell Fire Protection Service report detailed inadequacies in spacing of fire extinguishers due to some doors being locked some of the time. Extinguishers need to be within 75 feet of each other and we do not comply with existing regulations when doors are locked. We need to purchase 7 more fire extinguishers to be in compliance, said expenditure to come from the Maintenance line in the budget. MJ to follow-up with vendor.
  • Budget: The Town Budget Committee passed our budget with no changes
  • Rear Parking Lot: Wes thinks it is ok but he will check with Dale Hemeon and trustees will review issue again in the spring.
  • Network Connection- Jeff reported that MV Communications has proposed a T1 solution that would cost the library about $250 per month. Change needs to happen prior to November 2004. Jeff to follow-up with Trustees in July 2004.
  • Trustees would like staff job descriptions updated prior to the end of the fiscal year.

New Business:

  • NH Library Trustee Meeting to be held on Saturday, May 15th at the Grappone Center. Many interesting programs are planned.
  • A volunteer approached one of the trustees to offer to facilitate a book discussion group to be held the first Monday of the month at 9:30 AM. This existing book discussion group is changing its site and would welcome all Hooksett residents as participants. There is a possibility that the author of the book for April might appear at the discussion group. Trustees would entertain the possibility of paying travel expenses. MF to follow-up
  • MJ reported on how the Derry Library handles its revenues from fines, copies etc. A cash register is used with codes for the various revenues. The circulation librarian and one other staff person tally revenues each morning and a daily ledger is kept of revenues. Funds are given to the Library Director to be deposited on a regular basis and the deposit slip is given to the bookkeeper to be recorded.
  • MF distributed information packets from Carolyn Shroeder on preservation of historic materials. Trustees to review, but defer further discussion until new Library Director is on board.
  • MJ reported that Don Duford had many historic documents relating to town history and the Hooksett Library may be one of the options for receipt and preservation of these materials. MJ to keep board informed.
  • Trustees would like FH to construct a list of regular maintenance activities that need to be done on a periodic or annual basis. Such list will be very valuable to the new Director. We also need a list of vendors that the library uses for various tasks.
