Present: Marion Jacobi, President, Mary Farwell, Secretary,
Ann Marie Van De Water, Treasurer, Fran Hebert, Library Director
Secretary's Report Minutes from the January 12, 2004
meeting were approved.
Treasurer's Report: Treasurer's report was reviewed. Bills
for remote access database materials are due in the spring. Many
books are on order. AV to review utility line and determine whether
we have a rate lock with Energy North. The 2% merit raise should be
issued in a separate check..
Library Director's Report:
- Circulation report was distributed.
- Toilet in public ladies room was very clogged resulting in a
plumbing expenditure
- Due to poor response and very few signups, the homework
classes will be postponed until fall and other marketing avenues
with the schools will be explored. The other classes will be
scheduled soon
Old Business:
- AED: Training classes are scheduled for March 2 and March
19th. Kathy Raymond recommends that the library send at least
three staff people, so that there will be a trained staff person
at all times in the library. FH will pick the appropriate people
to be trained and get them registered.
- IES: The contract was sent in January and the vendor has been
busy with other projects. He expects to have a report to the
trustees by the end of February
- MJ reported on a conversation with the head of OakPoint
relative to our dissatisfaction with their work. They stand behind
their work and do not feel their report was misleading.
- Fire Alarm Monitoring: MJ spoke with two vendors. Pride
Security System bid $600 to complete and monitor the work.
Atlantic Security Systems discovered that our system does not
comply with code and recommended that we have two separate panels
and a digital alarm communicator system. We would also need an
additional phone line. They bid $465 for this work and trustees
agreed to authorize them to complete this work. They bid $26/month
to monitor the alarm system and to do the daily test signals.
Trustees authorized selection of this vendor for this project. We
will need an annual inspection at a cost of $250 and the panic
buttons should be included in this testing.
- Fire Extinguishers: Fire extinguishers were tested by Concord
Fire Extinguisher Co. in October, 2003 and are ok until December
2004. If a unit is determined to be nonfunctioning, the company
leaves a good unit for us to use, repairs the other unit and
brings it back.
- Budget: The Town Council passed our budget to the Budget
Committee with no alterations. The Budget Committee will hear our
budget and our warrant article on Thursday February 19th.
- Rear Parking Lot: Wes think it is ok but he will check with
Dale Hemeon and trustees will review issue again in the
spring.
- Roof Leak: FH reported a possible roof leak. She will follow
up with Skyline Roofing as the roof is still under warranty.
- Financial Planning for Women: MF will follow-up with Annie
Daigle to be sure that there is no sales pitch in the presentation
and, if satisfied, will notify FH to go ahead and schedule
presentation. Marketing materials should be clear that the $15
charge is for materials.
- Trustees would like staff job descriptions updated prior to
the end of the fiscal year.
- Pat Cate's retirement party is Friday, February 13th at 5:30
PM
- NH Humanities Council Presentation: We will need a grant from
the Humanities council to fund these presentations. The Trustees
picked three topics: Storm clouds over Iraq, War and Peace in the
Middle East, and Geography of the Middle east with Emphasis on Oil
and Water Resources. FH to follow-up and determine if there would
be any monies that the HPL would have to pay.
New Business:
- NH Library Trustee Meeting to be held on Saturday, May 15th at
the Grappone Center. Many interesting programs are planned.
The next meeting of the Trustees will be March 9 at 9 AM
